Troubleshooting Square Imports

Where to find import logs, how to read them, and what to check when totals don't match.

If a transaction looks off or something seems missing after an import, the Square Import logs are your first stop. This article covers where to find them, how to read them, and what to check when things don't line up.

Where can I find the Square Import log files?

AccountEdge writes a log file every time an import runs, located at:

Each log is named with the import date, e.g. 2025-06-20_Square_Import_1.txt. If more than one import runs on the same day, the number at the end increments.

What's in a Square Import log file, and how do I use it?

Each log breaks the import down into repeating sections, one set per customer touched by that import:

  • Square customer added — logged the first time a new customer card is created (e.g. "Square customer added Leigh, Rachel")

  • Square Orders for [Customer] — line items, invoice numbers, and amounts for each order imported

  • Square Payment for [Customer] — the Receive Payment created, deposit account, and amount applied

  • Square Bank Deposit — the deposit created for the batch, with account numbers, routing/checking info, and totals

This is the first place to look if a customer reports a transaction is missing or an amount looks off — the log shows exactly what the import created (or didn't) and which invoice/order numbers it touched.

A customer's AccountEdge totals don't match their Square dashboard — what should I check?

Work through these in order:

  1. Confirm the order was paid in Square. Unpaid/open orders never import.

  2. Check the import log for that date to see whether the order appears at all. If it's missing, the order may have completed after the last import ran — the next import should pick it up.

  3. Compare the date range. The Import tab shows the "Last Square import" timestamp — orders completed after that time won't show up until the next import.

  4. Check Linked Accounts. If income/fee/deposit accounts were changed between imports, older and newer transactions may post to different accounts, which can look like a mismatch in reports even though nothing is actually missing.

  5. Look for duplicate customer cards. If "Import my Square customers as new cards" is selected, the same real-world customer can end up as multiple cards in AccountEdge if their Square profile details vary between orders (e.g., name entered differently). This won't cause dollar-amount mismatches, but it can make a customer's order history look split up.

If the numbers still don't reconcile after checking the above, look for the relevant _Square_Import_#.txt log file(s) — Support will need them to trace the import.
