Setting Up the Square Integration

How to connect your Square account to AccountEdge and configure your linked accounts.

Before you can import Square transactions, you'll need to authorize the connection between Square and AccountEdge and tell AccountEdge where to post the activity. This is a one-time setup.

How do I get to the Square setup screen?

From the top menu, go to Setup > Square > Manage Square.

This opens the Square Setup window, which has three tabs: Authorize, Linked Accounts, and Import.

How do I authorize (connect) my Square account?

  1. Open Setup > Square > Manage Square.

  2. On the Authorize tab, click Authorize.

  3. This opens a browser page. Log in to your Square account if prompted.

  4. Square will display a short authorization code on that page.

  5. Copy the code, then switch back to AccountEdge.

  6. Paste the code into the Square Authorization box and click OK.

This one-time step links your Square account to your AccountEdge company file. You only need to do this once (unless you disconnect or re-authorize later).

How do I set up Linked Accounts?

Still in Square Setup, click the Linked Accounts tab. This is where you tell AccountEdge which accounts to post Square activity to:

You'll also choose how customers are handled:

  • Import my Square customers as new cards — each Square customer becomes its own Card in AccountEdge, or

  • Assign one card to my Square orders — all orders post to a single card you choose

  • Assign orders without a card to — pick a fallback (e.g., "Generic Square Customer") for orders where no customer info came through from Square

Tip: Set this up carefully before your first import — the accounts you choose here are used for every transaction the integration creates, so getting them right up front saves cleanup later.
