Creating and Enhancing Prompts in AccountEdge AI

Tips for writing prompts, example questions, and how Projects work.

AccountEdge AI understands questions the way you'd normally phrase them. You don't need to learn a query language or know which report to run — just describe what you want to see, and it builds it from your company file data.

Writing prompts that get better results

Good output starts with being specific. A useful prompt usually has three parts: what you want, the time period, and how you want it broken down.

"Show me expenses" is vague. "Show me expenses by job for the last 6 months" gets it right the first time.

  • Be specific about the period. "Last 3 months," "Q1," "trailing 12 months," "the last financial year" all work.

  • Name the breakdown you want. By category, by job, by department, by vendor, by customer, by month. If you don't specify, you get a sensible default. Naming it saves a round trip.

  • Layer on instead of starting over. Once a project exists, keep going — "Now break it down by category," "Compare to last year," "Add a forecast." AccountEdge AI keeps context across the whole conversation, so you don't need to re-describe what you're looking at.

  • Ask questions about the numbers, not only for the numbers. Click a cell and ask "Why did this spike?" or "What's driving this?" AccountEdge AI pulls the source transactions and explains them.

  • Click any number you don't trust. Every figure traces back to the underlying transactions. If something looks wrong, drill in rather than guessing.

  • Use the suggested projects. AccountEdge AI generates them from your actual data in the form of agents, so they're often the fastest way in. One click generates the report. Refine from there.

  • Save the prompts that work. When a prompt lands a project exactly how you want it, reuse it next period against a fresh date range.

Example prompts

  • "Build me a P&L for the last 3 months."

  • "Create a 13-week cash flow forecast."

  • "Show me budget vs. actuals by category."

  • "Give me an accounts receivable aging report with collection risk."

  • "Which customers are overdue and by how much?"

  • "Top 10 vendors by spend year to date."

  • "Show revenue by month for the last 12 months."

  • "Compare this quarter's expenses to the same quarter last year."

  • "How much have customer refunds cost me this year?"

  • "Which customers make up most of my revenue?"

  • "Compare actuals to the budget in my uploaded plan."

  • "Run a payroll expense trend analysis."

  • "Put together a month-end close pack."

  • "Run a scenario where revenue drops 20%."

The agent answers. Then you refine in conversation: "Break it down by category or department." "Compare to last quarter." "Add a forecast." AccountEdge AI iterates without starting over.
