Want to put your own stamp on your checks, invoices, statements, receipts, or purchase orders? AccountEdge has the option to customize the layout, fields, and look of any form you send or print — this guide walks you through it step by step.
How to Open the Customize Forms Screen
1. Go to the top menu bar and select Setup > Customize Forms.

2. Select the type of form you want to customize (Checks, Invoices, Statements, Receipts, or Purchase Orders).
3. If the form type has Layout options (e.g. Service, Item, Professional, Time Billing for invoices), choose the layout you want.
4. Use the drop-down next to "Form to Customize" and select the specific form.
5. Click Customize to open the design screen.

Types of Forms — Quick Reference
Setup > Customize Forms breaks forms into 12 categories. Here's what each one covers:
Checks and Check Stubs
• Check — the actual check portion.
• Regular — Spend Money check stub (Banking Command Center).
• Payable — Payable check stub (Purchases Command Center).
• Refund — Refund check stub (Sales Command Center).
• Paycheck — Paycheck stub (Payroll Command Center).

Paychecks
A separate category from the Checks stub types above — this covers the customization of employee paycheck forms themselves, generated from the Payroll Command Center.
Receipts
• Credit Card Receipt — two per page, 8.5" x 5.5" each.
• Payment Receipt — one per page, full 8.5" x 11" sheet.
Payment Notifications
Notification forms sent to customers or vendors confirming that a payment has been received or applied.
Invoices, Packing Slips and Shipping Labels
Each sale layout (Service, Item, Professional, Time Billing) has its own invoice, packing slip, and label forms — 12 combinations total.
Statements
• Invoice Statement — lists open sales with current balance due.
• Activity Statement — lists all sales transactions in a date range.
• Plain Paper Statement — prints company name/address and some lines/boxes.
• Pre-Printed Statement — no company info or boxes printed (for use with pre-printed stock).
Purchase Orders
• Plain Paper Purchase — company name/address and boxes printed.
• Pre-Printed Purchase — no company info or boxes (for pre-printed stock).
Pay Stubs
Pay stub forms for employees, generated from the Payroll Command Center — distinct from the Paycheck stub listed under Checks above.
Deposit Slips
Bank deposit slip forms used when recording deposits through the Banking Command Center.
Mailing Labels
Printable address labels — separate from the packing-slip mailing labels tied to a specific sale layout.
W-2s and W-3
Federal wage and tax statement forms for employees (W-2) and the transmittal summary (W-3).
1099s and 1096
Federal forms for reporting contractor/vendor payments (1099) and the transmittal summary (1096).
Working with the Toolbar — Full Reference
The toolbar appears on every form's Customize screen and has 11 buttons. In the current version, each button is labeled with text under the icon (Data Field, Text Box, Image, Box, Line, Undo, Send to Back, Bring to Front, Fonts, Properties, Preview) — you no longer need to hover for a tooltip to identify them. Below is what each one does, left to right.

1. Data Field | Opens the Add Fields window so you can insert data fields — like Invoice #, Customer Name, or Balance Due — onto the form, with an option to include column headers. Only fields on this list can be added, and some fields are vertically linked to line data (e.g. description, amount) — they move together as a group and can be repositioned left or right, but not up or down independently. * See "Data Field Categories" below. |
2. Text Box | Click the tool, then click anywhere on the form — a text box appears there automatically. Drag it to reposition or resize it as needed, then double-click it to type your text, change the font, or set a background color. This works the same way on Mac and Windows. |
3. Image | Click the tool, then click the form to create a picture placeholder. Double-click it to open Field Properties, then click Load Picture and browse to your image file. Accepted formats: .pdf (Mac only), .jpg, .jpeg, .png, .tif, and .gif. |
4. Box (Rectangle) | Draws a rectangle — click to set the corner, then drag to size it. You can resize it later using its handles or the Field Information window. |
5. Line | Draws a horizontal or vertical line — click to start, then drag to the end point. Its location and size can be adjusted afterward the same way. |
6. Undo | Reverses your last action. This is single-level undo, so it only reverses the most recent change — it won't step back further than that. |
7. Send to Back | Moves the selected element behind other overlapping elements — handy when a box or image is covering a data field or text box you need to access. |
8. Bring to Front | Moves the selected element in front of other overlapping elements — the opposite of Send to Back. |
9. Fonts | Select a field, then click this to open the font dialog for that field (Font, Size, Style, Justify, and Effects like Underline or Strikeout). See "Fonts & Formatting" below for the full walkthrough. |
10. Properties | Opens Form Properties: the Layout tab sets paper/form size, and the Options tab sets margins and other form-level settings. Double-clicking anywhere on the form background (not on a field) opens this same window. |
11. Preview | Shows an on-screen preview of the form filled in with sample data, so you can check the layout before printing or emailing. This is a visual check only — it doesn't print. |
Note: The Layout drop-down at the top right of the customize screen only appears for Check formats.
Data Field Categories
When you open the Add Fields list (the Data Field button), every field is tagged with one of four categories on the right side of the list. These control where on a multi-page form the field appears:
The Add Fields list — fields like *Inv/PO #*, Aging Periods, and Addr2 details are tagged "Data-Every Page."
Further down the same list — Subtotal, Tax, and Total are tagged "Data-Last Page," while Account Name, Amount, and Description are boxed in blue as "Column-Every Page."
Further down still — Job Name through Taxed are boxed in blue as "Column-Every Page," while Sales Value Breakout through Tax Total Breakout are boxed in orange as "Column-Last Page."
• Data-Every Page — a single data value (like an address field or an aging period) that repeats identically on every page of the form.
• Data-Last Page — a single data value that only appears once, on the form's last page — this is where totals live (Subtotal, Tax, Total, Total Owed), since they only make sense after all line items have printed.
• Column-Every Page — a line-item column (like Description or Amount) that's part of the repeating item table and prints on every page that has line items.
• Column-Last Page — the column equivalent of Data-Last Page: a line-item column that only appears on the form's last page, used for job-progress and tax breakout fields (Sales Value Breakout, Tax Code Breakout, Tax Rate Breakout, and similar).
Fonts & Formatting
1. Double-click the field you want to restyle to open Field Properties, then click Text Format. (Selecting the field and clicking the Fonts button on the toolbar opens the same dialog.)
2. Before proceeding, on the field properties window, you can move the field itself by specifying an exact CM location on the grid (customize form window). Also, you can adjust the field size the same way.

3. Set the Font, Size, Font Style (e.g. Regular), and Justify (Left/Center/Right) as needed.
4. Check Underline or Strikeout under Effects if needed.
5. The Sample box shows a live preview of the selected font/size/style before you confirm.
6. Click OK to apply.
There's also a checkbox for "Only show fonts supported in PDF creation" — turning this on filters the Font dropdown to fonts that will render correctly when the form is emailed or exported as a PDF, rather than showing every font installed on the machine.
The Font dropdown itself lists every font available on your computer, so the exact options vary by machine and by whether the PDF-safe filter above is checked. To see your own list: open the Text Format dialog as above, check "Only show fonts supported in PDF creation" if you're planning to email or export the form as a PDF, then click the Font dropdown (it shows the current font, e.g. Arial) to browse everything available.
Further Customization Details
Adding a Data Field
Click the Data Fields button, pick a field from the list (searchable alphabetically), then click Add. Only fields on this list can be added. Some fields are vertically linked to invoice/purchase line data (description, amount, job number, sales tax) — they can move left/right independently but not up/down.
Selecting Multiple Fields
Hold Shift and click each field. To select every field on the form, use Edit > List Select All from the menu bar.
Deleting a Field
Click the field, then press Delete or right-click and choose Delete. The field remains available on the data field list if you want to add it back later.
Adding a Text Field
Click the Text Box tool, then click anywhere on the form — a text box appears there automatically. Drag it to reposition or resize it as needed, then double-click it to open the Text Input / Field Properties window, where you can enter text, change the font, or set a background color. This works the same way on Mac and Windows.
Resizing a Field or Line
Selecting a field shows 8 handles around it — drag any handle to resize. A selected line shows handles at each end. You can also double-click the field/line to open the Field Information window and change its size numerically.
Copying and Pasting Fields
Select the field, choose Copy from the Edit menu, then Paste. Fields can be copied within a form, but not between form types (e.g. you can't copy a field from an invoice and paste it into a check).
Inserting a Graphic or Logo
Accepted formats: .pdf (Mac only), .jpg, .jpeg, .png, .tif, .gif. Click the Image tool, click the form to place it — it appears as a "Double Click to Add Image" placeholder. Double-click it to open Field Properties (Picture), then click Load Picture, browse to the file, and click Open, then OK.

The dialog also shows the picture's file size (e.g. "Picture Size: 12 KB") and offers a Paste Picture option — useful if you've already copied an image to your clipboard instead of browsing to a file.
Drawing a Rectangle or Line
Click the Box or Line tool, click the starting point, and drag to the desired end point. Both can be resized the same way as any other field.
Form Properties
Double-clicking the form background (not a field) opens Form Properties. The Layout tab sets paper and form size; the Options tab sets margins and other form-level options.
Saving Your Customized Form
Click Save Form to save changes to a form you've already customized, or Save Form As to save under a new name and keep the original intact. Click OK after saving.
Important: don't use a slash (/) in a form name — the AccountEdge file utility will misinterpret it.
Troubleshooting / Frequently Asked Questions
Q: I clicked a toolbar button but nothing happened — why?
A: If it’s a new popup window that’s supposed to appear, make sure its not hidden off to the side somewhere, enlarge the customize forms window to see if the popup is hiding “off screen” somewhere.
Q: Why is it when I move a column, all of the columns next to it move in unison?
A: Columns are interlocked together per page, so one moving/resizing one column, the rest will follow.
Q: Why won't my logo/image show up after I load it?
A: Confirm the file is one of the accepted formats (.pdf on Mac only, .jpg, .jpeg, .png, .tif, .gif). Larger images over 2-3MB can be problematic. You may need to resize your image or choose a different format.
Q: Which fonts can I use on a form?
A: See Fonts & Formatting section above
Q: I can only add certain fields — why aren't all my data fields showing up in the list?
A: Only fields that AccountEdge supports for that specific form type appear in the Add Fields list. If a field you need isn't listed, it isn't available for that form.
