Security & Audit Preferences

Beyond the preferences covered in the Easy Setup Assistant, AccountEdge has additional settings in the Preferences window that control how transactions are handled and tracked. These are found under Setup > Preferences from the top menu bar.

Use Audit Trail Tracking

Found in Setup > Preferences > Security.

When enabled, AccountEdge keeps a record of specific changes made to transactions, tax codes, accounts, and system settings. Each change is logged with the date, the user who made it, and what was modified. This is especially useful when more than one person enters transactions into the same company file, as it provides accountability and makes it easier to trace errors back to their source.

You can review the audit trail through the Company Data Auditor (Accounts > Company Data Auditor > Transaction Review > Review Audit Trail Changes).

Transactions Can't Be Changed; They Must Be Reversed

Found in Setup > Preferences > Security.

When this preference is enabled, users cannot edit or delete recorded transactions. Instead, any correction requires recording a reversal — a new transaction that offsets the original — and then entering the corrected version. This creates a complete paper trail showing every change.

This preference is recommended if your accountant requires a strict audit trail, or if you want to prevent accidental deletion of transactions. You can toggle it on or off at any time, so some users enable it only when they need to reverse a specific transaction, then turn it off again afterward.

Note: Transactions created in a previous fiscal year become unchangeable automatically after you go through the Start a New Fiscal Year process, regardless of this preference setting.
