Background
The Company File Maintenance menu is available from the Welcome Window of AccountEdge. It contains different tools and options for creating company files, optimizing company files, restoring backups of company files, and migration from previous versions of the software.
Create Company File
Allows you to create a new company file. This can be created from AccountEdge Pro or AccountEdge NE with MAC or Windows.
Double click on the AccountEdge program (icon short cut)
Click the Company File Maintenance drop-down (located at the bottom right)
Click Create Company File
A New Company File Assistant menu appears explaining what type of information is needed to create your new company. Click Next
Enter basic information about your company and click Next
Enter your accounting fiscal year and conversion information (WARNING this data cannot be changed once complete) and click Next
Confirm your fiscal year information entered and click Next
Select what type of chart of accounts list you want to create and click Next
Select the type of business and classification you are in and click Next
Verify where your file will be saved and click Next
You have just created a new company file

Optimize Company File
Optimizing your company file attempts to repair problematic issues found within the structure of the file and reorganizes the data for the most efficient use. It will also attempt to compact the file to reduce the amount of space used.
This routine can be executed from AccountEdge Pro or AccountEdge NE
Mac Instructions
Double click on the AccountEdge program (icon short cut)
Click the Company File Maintenance drop-down (located at the bottom right)
Click Optimize Company File
An Optimization Assistant window appears explaining the process, click Continue
Browse to the folder of where the file resides, click on the file name and then click Open
The optimization process begins, once complete click Close
NOTE: A .bak file was created only as a backup during the optimization process; this file is not intended to be used as the data file. You may either keep the file or delete it; the normal .myo file is to be used as normal although it may be a smaller size from the optimization process.
Windows Instructions
Double click on the AccountEdge program (icon short cut)
Click the Company File Maintenance drop-down (located at the bottom right)
Click Optimize Company File
An Optimization Assistant window appears, click Next
Click Find File
Browse to the folder containing the file
Click on the file name and then click Open
Click Next
Click Next
The optimization process begins
Click Finish when complete
NOTE: A .bak file was created only as a backup during the optimization process; this file is not intended to be used as the data file. You may either keep the file or delete it; the normal .myo file is to be used as normal although it may be a smaller size from the optimization process.
Upgrade Company File
Upgrading is the process of converting a file into a readable format for a newer version of AccountEdge. This process must be performed on any older version of AccountEdge in order to be accessed in the new version. This process only has to be performed once on a file. This can be executed from AccountEdge Pro or AccountEdge NE with MAC or Windows
Double click on the AccountEdge program (icon short cut)
Click the Company File Maintenance drop-down (located at the bottom right)
Click Upgrade Company File
An Upgrade Assistant window appears explaining the process, click Next
Click Find File
Browse to the folder of where the file resides, click on the file name and then click Open
This window is where you decide to either save the file in the documents folder by default or you can click Save As and change the location of where you want to store the file. **WARNING this location is very important to note where your file is to be stored. Click Next
A confirmation window appears of where the file will be stored; click Next
The upgrade is complete when you see Congratulations! Click Finish
NOTE: If you have multiple files to upgrade you can continue to upgrade more files by clicking Next.
Restore from a Disk
This is the process of restoring a backup file from your hard drive, external drive, thumb drive, network server or local media.
**Please note where you keep the current file before opening a backup file, this way you do not confuse which is current or a backup.**
Windows Instructions– AccountEdge Pro
Double click on the AccountEdge program (icon short cut)

Click Restore from a Disk
Browse to the folder of where the backup file resides, click on the file name and then click Open ( a backup file will resemble this type of format: Backup 2016-06-10 WidgetsCoffeeCo.zip)
The Save As window appears; select the location or folder of where you want to save the backup file so AccountEdge can unzip it and open it for you. Click Save
A window appears that the backup was successful, would you like to open? Click Yes
You are now in the backup file

Mac Instructions- AccountEdge NE
Double click on the AccountEdge program (icon short cut)

Restore from Dropbox
This is the process of restoring your company file from Dropbox. If you encounter problems within your Dropbox account please contact their technical support for assistance.
**Please note where you keep the current file before opening a backup file, this way you do not confuse which is current or a backup**

Migrate Company File
This process will migrate your custom forms, reports, letters and graphics from a previous version of AccountEdge located on this computer only.
AccountEdge Pro and AccountEdge NE for MAC and Windows
Double click on the AccountEdge program (icon short cut)
Click the Company File Maintenance drop-down (located at the bottom right)
Click Migrate Previous Version
A Migration Assistant window appears that explains the process click OK (this window may not appear)
A Migration Assistant window appears that has the Previous Application (ex. C:\AccountEdge Pro2015\AccountEdge.exe) click Start
Click OK
NOTE: If there were custom forms, reports, letters and graphics on this computer, they can now be accessed from within the new application.
